Zimbra: NPS Login   -   Log into Zimbra using your NPS UDT username and password.
The Zimbra Collaboration Suite (ZCS) is a web-based email, calendar, and contact management system. This is now the recommended web-based access system for NPS email and works from any computer with Internet access (inside or outside the district network). Zimbra includes an internal documentation/help system accessible via the "? Help" link near the top-right corner of the Zimbra screen. You can access your NPS email by clicking on the link above or by directing your web browser to the following web address (URL): email.norman.k12.ok.us

What is Zimbra?
This documentation was developed by Carleton College so some of it may be specific to their organization and may not work exactly as described in our district. But many thanks to Carleton College for offering helpful (and badly-needed) end-user documentation.

    This documentation for Zimbra version 4.5 is slightly dated now (it may not exactly match the newer version of Zimbra used in our district) but it is one of the better guides available.

    Frequently Asked Questions (And Answers)

    1. Should I stop using my current email program and use Zimbra instead?
    2. Zimbra can readily replace the Webmail (SquirrelMail) web-based email system we've used in our district for a few years. If you are using other email client software, such as Microsoft Outlook, the answer isn't as simple. For example, syncing with other devices isn't currently available. If you need that ability then you should limit your use of Zimbra to sorting through the Junk and !unclassified (held email) folders. If you don't need device syncing then Zimbra may offer you some real benefits.
        Selected Zimbra Features:
      • Email messages can be flagged, tagged, filtered, and easily searched
      • Fully integrated with the NPS staff email directory (lookup by email address or name)
      • Contact lists include both individuals and groups
      • Multiple, customizable, and sharable calendars with color-coded events
      • Automated "Away Messages" (aka Out-of-Office or Auto-Reply messages)
      • Better management of held email for NPS Spam Manager users
      Zimbra gives you access to your email messages and all these features from virtually any computer with Internet access - even when at home or on vacation!

    3. How do I cause an email message in my !unclassified (held email) folder to be delivered to my Outlook Inbox?
    4. If you have selected the "hold-email" option in the NPS Spam Manager then messages from senders or domains not included in your Allow and Block lists are held in your !unclassified (held email) folder for at least a week. Prior to Zimbra, the recommended tool for scanning and releasing any held messages you wanted delivered was the Work with Held Email utility in the Spam Manager. You now also have the option of using Zimbra rather than the Spam Manager to scan and release your held email messages.
      1. Log into (launch) Zimbra
      2. Click on the !unclassified folder in the folder list near the left side of the Zimbra window
      3. You can move any held messages you want released by dragging and dropping them onto your Inbox.
      One advantage of Zimbra is that it allows you to preview, read, and delete individual held messages before they are released to your Inbox. The messages you have released (moved to your Inbox) should appear in Outlook (or your other POP3 email client software) the next time it checks for new messages.

    5. How do I import my Address Book / Contact List into Zimbra?
    6. You can import the address books and contact lists from other email software into Zimbra. To be imported, your contacts must first be exported from your old email software into a comma-separated value (CSV) text file format compatible with Windows (or the operating system running on your computer). Most email software will export CSV files. The specific procedure varies depending on your old email software. In Outlook you can find the Import and Export option in the File menu. Users of other email software may want to search their software's help system for "export".
        To import your CSV-format Address Book into Zimbra...
      1. Open Zimbra
      2. Click on the "Preferences" tab near the top of the screen
      3. Click on the "Address Book" sub-tab under Preferences
      4. In the "Import/Export" section, Click the "Browse" button
      5. Navigate and select the the .CSV address book file to import
      6. Click the "Import .CSV File" button
      7. Select the the Zimbra address book (probably "Contacts") - or create a new address book - into which you want to import the new contacts
